Front Desk / Client Experience Coordinator
Sage Haven Eastern Medicine
Onsite | Pacific Beach, San Diego
30–32 hours/week | Tuesday–Saturday
Sage Haven Eastern Medicine is San Diego’s premier women-focused holistic wellness center, offering integrative acupuncture, cosmetic acupuncture, massage therapy, and longevity-focused care. We serve women who value high-touch, elevated experiences and thoughtful, results-driven treatment plans.
We are seeking a Front Desk / Client Experience Coordinator to serve as a key onsite team member supporting client experience, daily operations, and clinic flow. This is an elevated front desk role designed for someone who is polished, organized, confident with clients, and excited to take ownership within a luxury wellness environment.
This position is ideal for someone who wants more responsibility than a traditional front desk role and enjoys being the go-to person who keeps everything running smoothly.
Schedule
• Tuesday: 8:30am–5:30pm (1-hour break)
• Wednesday–Friday: 1:00pm–7:00pm (occasionally until 7:30pm) (30-minute break)
• Saturday: 8:30am–3:00pm (30-minute break)
Key Responsibilities
Client Experience & Revenue Support
• Greet clients and manage check-in/check-out with warmth and professionalism
• Pre-book future appointments to support continuity of care
• Collect payments and confidently enroll clients into memberships and packages
• Answer office phone calls and respond to client texts with clarity and care
Operations & Clinic Flow
• Maintain a clean, organized, and welcoming clinic environment
• Support smooth daily flow between practitioners and appointments
• Manage inventory, restocking, and submit product purchase orders
• Refilling/bottling products and pack and ship online product orders
Brand & Content Support
• Brainstorm and collaborate on social media and in-office content ideas
• Capture photo and video content when needed
• Represent Sage Haven’s brand, values, and elevated standards at all times
Who You Are
• Naturally organized, proactive, and detail-oriented
• Warm, confident, and polished in client-facing interactions
• Comfortable discussing care plans, memberships, and prepaid packages
• Able to problem-solve independently and take ownership
• Excited to grow within a luxury, women-focused wellness brand
Compensation & Growth
• Starting at $22/hour depending on experience
• Formal 90-day and 6-month performance reviews
• Opportunity for pay increases based on performance, ownership, and reliability
